How do I manage prize inventory on my Prize Wheel or APG Reward?

To manage prize inventory, open your game and go to the Inventory section. Inventory tracks the starting quantity and the remaining quantity for each prize. Inventory decreases when a prize is won, can be adjusted during play, and is tracked separately for each Result Set (Prize Wheel) or Reward (APG).


Where do I find prize inventory?

For a Virtual Prize Wheel

  1. Go to Prize Wheel.

  2. Click Manage next to your wheel.

  3. Click the Inventory tab.


For a Prize Wheel inside an APG game

  1. Open your APG Game Dashboard.

  2. Click Rewards.

  3. Select the specific Reward Name.

  4. Click Inventory.

In APG, Result Sets are managed behind the scenes. Inventory is tied to each individual Reward.


How does prize inventory work?

The Inventory tab shows two important numbers:

  • Starting Inventory – The original quantity entered.

  • Remaining Inventory – The quantity left.

Example: 360 of 500

  • 500 = Starting inventory

  • 360 = Remaining inventory

Inventory decreases when a prize is won, not when it is claimed.

The Claimed Prizes record is simply a log of which player won which prize. It does not control inventory reduction.


What happens when a prize reaches zero?

  • If a prize has zero inventory, it will remain visible on the wheel.

  • It cannot be won.

  • If all prizes in the active Result Set (or Reward) reach zero, the game displays the Out of Prizes Message.

What does “Can be Won” mean?

Each prize has a “Can be Won” setting (Yes / No).

  • If set to Yes → The prize is eligible to be awarded (if inventory is available).

  • If set to No → The prize will not be awarded, regardless of inventory.

This is useful if:

  • You want a prize to appear visually but not be winnable.

  • You are temporarily pausing a prize.

  • You are adjusting your prize mix mid-event.


How do Result Sets affect inventory? (Prize Wheel)

Inventory is tracked per Result Set.

When creating a new Result Set, you can:

  • Start with an empty inventory

  • Copy the starting inventory from a previous Result Set

  • Carry over the remaining inventory from a previous Result Set

This allows you to:

  • Adjust inventory between trade shows

  • Account for items lost in shipping or stuck in drayage

  • Purchase additional inventory for a new event

  • Track event-to-event performance separately


How do I reuse my prize wheel from show to show?

To reuse your existing wheel design:

  1. Keep the same Prize Wheel.

  2. Create a new Result Set (Prize Wheel)

    OR use the existing Reward (APG).

  3. Adjust or copy inventory as needed.

Why this matters:

Using new Result Sets allows you to:

  • Keep the same links and QR codes

  • Keep the same wheel design

  • Track inventory and performance per event

  • Compare results from show to show


Can I adjust inventory during play?

Yes.

You can increase or decrease inventory at any time in the Inventory tab — even while the game is live.

This is useful if:

  • You restock prizes mid-event

  • You discover missing inventory

  • You need to adjust quantities in real time


What if multiple kiosks or QR codes are being used?

Inventory synchronizes in real time across:

  • Multiple kiosks

  • Multiple browsers

  • Players accessing via QR code

There is no risk of overspinning beyond available inventory.

The system only awards prizes that are available in the active Result Set or Reward.


Common Issues

The wheel says “Out of Prizes”

This happens when all prizes in the active Result Set (or Reward) have zero remaining inventory.

Solution:

  • Increase inventory in the Inventory tab

    OR

  • Edit the message under Info Panel & Alerts


My prize still shows on the wheel but cannot be won

Check:

  • The Remaining Inventory is not zero.

  • The Can be Won setting is set to Yes.


My inventory numbers seem incorrect

Remember:

  • Inventory decreases when a prize is won, not when it is claimed.

  • Inventory is tracked per Result Set (Prize Wheel).

  • In APG, inventory is tied to each Reward.
